Una Europa vzw is a nonprofit organization fostering collaboration between nine universities, having its registered office at KU Leuven Campus Brussels Warmoesberg 26, 1000 Brussels. and registered at the Belgian Registry of companies under number BE 0722.686.721 (hereinafter “We”or “Us”).
In this Privacy Policy, the word “Personal Data” describes any information which, alone or in combination with any other information at our disposal, allowing us or any third party to identify you directly or indirectly, and has the same meaning as in the European Union’s General Data Protection Regulation (2016/679) (hereafter called “GDPR”).
Any Personal Data that we collect shall be processed in compliance with the European and Belgian legislation applicable to personal data, such as the GDPR.
We are acting as a data controller as we determine the purposes and means of the processing of the Personal Data.

How we collect personal data
When you visit the website we may collect data from you.
If you sign up to our mailing list we will collect information about you to ensure you receive relevant information. The information we collect includes your name, email address, and some limited data about your work or study.
If you register for an Una Europa event, we keep your personal data for the purposes of that event. If your data will be used for additional purposes, we will ask for your explicit consent.
You may send us an email directly containing personal data, which will be stored for the indicated purpose.
Which data do we collect from you
When you contact us, we may collect the following information
- Name and/or company’s name
- Address
- Organization
- Phone number
When you navigate on our website or when you contact us in order to contract our services through our website, we may collect information (including personal data) in the following way

Why we use personal data
If you sign up for our mailing list we use your personal data to send you relevant email newsletters once a quarter. We never send spam, and may tailor the email we send you based on your personal data.
Legal grounds for collecting personal data
Legitimate interest: Personal data collected on the website is necessary for us to understand how the website is used and to help us improve our services.
Consent: Personal data collected to sign up for our mailing list means that you have consented to receive email newsletters from us. You can withdraw your consent at any time by clicking the ‘Unsubscribe’ link in the email.
Security of your personal data
We only keep your personal data for as long as we need to, but for a maximum period of 10 years, or until you ask us to delete it.
We may also share your personal data to our university partners and subcontractors which may process your Personal Data in our name.
The list of sub-contractors may be obtained on simple request.
If you sign up to our mailing list your personal data is collected using a third-party, MailChimp, in accordance with GDPR regulations.
If you apply for Una Europa seed funding, your personal data is collected using a third-party, jotform, in accordance with GDPR regulations.
Except in the cases described in this Privacy Policy, we do not allow any sale nor transfer of your Personal Data to third parties without your approval. However, your Personal Data may be communicated to the university members of our alliance who may process them for their own purposes.

We keep our privacy policy under regular review and may modify it if necessary. The most recent version of the privacy policy shall always be accessible on this page.
